Section 1

Register & Sign In

Creating a makeCargo account takes less than two minutes. Your free account provides full platform access with no credit card required—start exploring immediately.

Open the registration page

Visit makecargo.io and click the Get started free button in the top navigation. The sign-up modal will open directly without needing a page redirect.

Enter your details

Fill in your first name, last name, work email address, and a password of at least eight characters. Passwords must include at least one uppercase letter and one number.

Verify your email address

After submitting, you will receive a verification email from no-reply@makecargo.io within one minute. Click the Confirm my email link inside the message. The link is valid for 24 hours.

Sign in to your account

Once verified, return to the site and click Sign in. Enter your email and password. You will be redirected to the Organisation Setup Wizard if you haven't yet created an organisation, or directly to your dashboard if you have.

Reset a forgotten password

Click Forgot password? on the sign-in modal. Enter your registered email address and you will receive a reset link within two minutes. The link expires after 60 minutes—request a new one if it has expired.

Tip Check your spam or junk folder if the verification email does not arrive within five minutes. Add no-reply@makecargo.io to your contacts to ensure future notifications are delivered.

Section 2

Create an Organization

After your first login, makeCargo will guide you through a brief setup wizard to create your organisation. All operational data in makeCargo—shipments, invoices, contacts—belongs to an organisation, so this step is required before you can access any features.

Name your organisation

Enter your company's legal trading name. This name appears on quotes, invoices, and the customer portal, so use the exact name your customers recognise. You can add a display alias later in settings.

Select your country and timezone

Choose the country where your main office is registered and your local timezone. The timezone determines shipment milestone timestamps, system notifications, and report date ranges for all users in your organisation.

Choose your base currency

Select the primary accounting currency for your organisation. All profit and loss reports, AR/AP aging, and financial dashboards will be displayed in this currency. You can still create quotes and invoices in any currency; amounts will be converted using your configured exchange rates.

Invite your first team member

Optionally enter the email address of a colleague to invite them now. They will receive an invitation email with a link to join your organisation. You can skip this step and invite members later via Settings → Members.

Complete setup and go to your dashboard

Click Create Organisation. The wizard will provision your workspace and redirect you to the main dashboard. From here, you can start configuring rate cards, adding contacts, and creating your first shipment.

Important The base currency cannot be changed once the first invoice has been posted. Choose carefully during setup. If you need to change it later, contact support before creating any financial records.

Section 3

Manage Your Organization

Organisation settings allow you to manage your company profile, control user access and permissions, update billing contact details, and modify your subscription plan at any time.

Open Organisation Settings

Click your organisation name or avatar in the top-right corner of the navigation bar and select Organisation Settings from the dropdown menu. You must have an Owner or Admin role to access this area.

Update company profile

Edit your organisation name, registered address, company registration number, and contact phone number. Click Save changes. These details will appear on all documents generated by the platform.

Invite and manage team members

Go to Settings → Members. Click Invite member, enter the email address, and assign a role. The invitee will receive a link valid for 48 hours. You can resend or revoke invitations from the pending invitations list.

Assign or change member roles

Click the role badge next to any active member to open the role selector. Select the desired role and confirm. Role changes take effect immediately upon the member's next page load.

Update the billing contact

Go to Settings → Billing. The billing contact will receive all payment receipts and plan renewal notifications. This does not need to be your login email; you can set it to your accounting department's address.

Tip Every organisation must have at least one Owner at all times. If the current Owner needs to leave, transfer ownership to another member via Settings → Members → Transfer ownership before removing your account.

Section 4

Payment & Billing

makeCargo uses secure, PCI-compliant payment processing. Your card details are never stored on our servers. All billing is managed directly through your organisation settings.

Add a payment method

Go to Settings → Billing → Payment methods. Click Add card. You will be redirected to a secure payment form powered by Stripe. Enter your card number, expiry date, and CVC. We accept Visa, Mastercard, and American Express.

Understand your invoices

Invoices are generated automatically on each billing cycle renewal date and emailed to your billing contact. Each invoice displays the plan name, billing period, any prorated adjustments from mid-cycle plan changes, and the total charged amount, including applicable taxes.

Download past invoices

All invoices are available in Settings → Billing → Invoice history. Click the PDF icon next to any invoice to download a formatted copy. Invoices include your organisation's registered address and VAT number for your accounting records.

Upgrade or downgrade your plan

Go to Settings → Billing → Current plan and click Change plan. Upgrades take effect immediately, and you will be charged a prorated amount for the remainder of the current billing cycle. Downgrades take effect at the end of the current billing period, and you will retain access to higher-tier features until that time.

Cancel your subscription

Click Cancel plan in Settings → Billing → Current plan. Your subscription will not renew at the next billing date. You will retain full access and all your data until the end of the period you have already paid for. Your data is retained for 90 days after cancellation and can be reactivated at any time.

Payment failure If a renewal payment fails, makeCargo sends a notification to the billing contact and retries automatically over the next seven days. After three failed attempts, your organisation will be placed in read-only mode. Update your payment method immediately to restore full access.

Upgrade mid-cycle

You can upgrade your plan at any time. The higher-tier features become available immediately. You will be charged a prorated amount covering the remaining days in the current billing period — for example, upgrading halfway through a 30-day month results in a charge of approximately half the difference between the two plan prices.

Downgrade to a lower tier

Downgrades are scheduled for the end of the current billing period. You keep full access to your current tier until then. When the downgrade takes effect, features exclusive to the higher tier become read-only. Existing data is preserved — nothing is deleted — but you cannot create new records that exceed the lower tier's limits.

Annual billing discount

Switch to annual billing in Settings → Billing → Current plan to receive two months free (equivalent to a 16% saving). Annual plans are billed in a single upfront payment and the invoice is available for download immediately after payment.

Section 6

Open a Ticket / Chat

The makeCargo support team is available via a built-in ticketing system and a live chat widget. Both channels are accessible from inside the application without leaving your workflow.

Open a new support ticket

Click the Help icon in the bottom-right of any screen inside the app, then select Submit a ticket. Alternatively, navigate to Support → My tickets → New ticket from the main navigation.

Fill in the ticket form

Enter a clear, concise subject and describe the issue in the message field. Include the shipment reference number, invoice number, or screenshot if relevant — this helps the support team reproduce and resolve the issue faster. Choose the priority level: Low, Normal, High, or Urgent.

Attach files if needed

Click Attach files to upload screenshots, exported PDFs, or CSV files. Accepted formats: PNG, JPG, PDF, XLSX, and CSV. Maximum file size per attachment is 10 MB. You may attach up to five files per ticket.

Submit and track your support ticket

Click Submit ticket. You will receive an email confirmation with your ticket number. Track status and view replies under Support → My tickets. You will receive an email notification whenever the support team replies.

Use the live chat widget

The chat bubble in the bottom-right corner of every page starts a live conversation with our support team when agents are online. Outside of business hours, messages are automatically converted into tickets and answered the next business day. Your chat history is saved within your ticket list.
