Everything you need to know about MakeCargo — from getting started to advanced integrations. Can't find what you need? We're happy to help.

Getting Started

New to MakeCargo? Here's what you need to know before your first shipment.

MakeCargo is a cloud-based Transportation Management System (TMS) built specifically for freight forwarders and logistics companies. It covers the full operational lifecycle — from quoting and booking to shipment tracking, customs documentation, invoicing, and customer portal access. Unlike generic logistics tools, MakeCargo is purpose-built for forwarding workflows across ocean, air, road, and rail freight.
Yes — and there's no time limit. MakeCargo's Free plan is a permanent tier, not a trial. You get access to the core modules including Quote, Operations, and basic Finance with no expiry date. When your team grows or you need advanced features, you can upgrade to Starter or Professional at any time. There's never pressure to upgrade before you're ready.
No credit card is required to create a Free plan account. Simply register with your work email address and you'll be operational within minutes. A payment method is only needed when you choose to upgrade to a paid Starter or Professional plan — and you can add that at any point from within your account settings.
Most teams are creating their first shipment within 30 minutes of signing up. The initial setup wizard walks you through company details, your default currency and port preferences, and inviting your first team members. There's no hardware to install, no server provisioning, and no mandatory onboarding call — though our support team is happy to run a guided walkthrough if you'd find that helpful.
Yes. MakeCargo supports CSV and Excel imports for contacts, rate cards, and historical shipment data. The import templates are available in the Settings area and include column-by-column mapping guidance to minimise errors. For large migrations from legacy TMS platforms, our team can assist with data preparation and bulk import — reach out to us at hello@makecargo.io to discuss your migration.
Plans & Pricing

Transparent pricing with no hidden fees. Here's how each plan works.

The Free plan includes up to 5 users, the Core, Quote, and Operations modules, unlimited shipment records, basic AR invoicing, 100 MB of document storage, and support for 8 UI languages including right-to-left (Arabic). It's designed to let a small forwarding team run day-to-day operations without any time limit. Finance reporting, multi-branch support, and the customer portal are available on paid plans.
You can upgrade at any time from your Account Settings under the Subscription section. Select the plan that fits your team size, enter your payment details, and the upgrade takes effect immediately — your existing data, users, and shipments are all carried over. There's no migration or reinstallation required; the new features simply become available the moment the payment is processed.
Yes. Upgrading mid-cycle is pro-rated — you're only charged for the remaining days on the new plan in your current billing period. Downgrading is also allowed and takes effect at the end of your current billing cycle, so you always receive the full value of what you've already paid for. There are no cancellation penalties or minimum commitment periods on monthly plans.
We'll notify you by email when you approach your plan limits (such as user seats or document storage). We don't abruptly cut off service — you'll have a grace period to either upgrade your plan or optimise your usage. Existing data is never deleted automatically. Upgrading immediately restores full access without any disruption to your team.
Yes — paying annually saves you approximately two months compared to monthly billing. The annual discount is applied automatically when you select the "Pay yearly" option on the Pricing page. For large enterprise teams or multi-organisation deployments, contact us directly for a custom quote and we'll work out a package that makes sense for your scale.
Shipments & Quotes

How MakeCargo handles your day-to-day freight operations.

There is no cap on the number of active or archived shipments — all plans including Free allow unlimited shipment records. The only differentiated limits relate to users and document storage capacity. Your historical shipments, charges, and documents are retained indefinitely while your account is active, giving you a complete audit trail for compliance and reporting purposes.
MakeCargo supports ocean freight (FCL and LCL), air freight, road freight (FTL and LTL), rail freight, courier and express, and multimodal jobs with multiple transport legs under a single master document. Each mode has purpose-built fields — for example, container and B/L management for ocean jobs, MAWB/HAWB for air, and CIM waybills for rail — so you're not forcing a generic form to fit a specialist workflow.
Yes. Once a quote is built from your rate cards, MakeCargo can generate a branded PDF and email it to your customer directly from the platform. The quote email includes your company logo, a reference number, validity date, and an itemised breakdown of charges. On the Professional plan, customers can also view and accept quotes through the self-service portal without any back-and-forth email.
Yes. You can set a functional (base) currency for your organisation and use any other currency on individual charge lines within the same shipment. Exchange rates can be set manually per job or synced automatically using the built-in rate feed. All financial reports present totals in your functional currency with the exchange rate used clearly recorded against each converted line — essential for accurate profit-and-loss on international shipments.
Yes. Each shipment has a dedicated document tab where you can upload and categorise files — bills of lading, commercial invoices, packing lists, certificates of origin, customs declarations, and any other supporting paperwork. Files are stored securely in the cloud and accessible to all team members with appropriate permissions. On the Professional plan, documents can also be shared directly with the customer through the portal.
Account & Team

Managing users, roles, and your organisation settings.

Go to Settings → Team Members and click "Invite user". Enter the email address, assign a role, and MakeCargo will send an invitation email. The invitee clicks the link, sets a password, and lands directly in your organisation's workspace. Invitations expire after 7 days if not accepted, but you can resend them at any time. Each plan has a maximum user seat count — the Free plan supports up to 5 users.
MakeCargo has three built-in roles: Owner (full access including billing and user management), Admin (full operational access without billing controls), and Staff (operational access scoped to assigned modules). Admins can also configure custom permission sets on the Starter and Professional plans, letting you restrict or grant access at the module level — for example, preventing operations staff from viewing finance figures.
Yes. A single MakeCargo login can be linked to multiple organisation workspaces, which is useful if you operate separate legal entities or manage multiple branch companies. You can switch between organisations from the top navigation bar. Each organisation has its own independent data, subscription, and user list — billing is handled separately for each one.
The current Owner can transfer ownership to any existing Admin user by going to Settings → Team Members, clicking the target user's menu, and selecting "Transfer ownership". The outgoing Owner is automatically downgraded to Admin so they retain access to the workspace. Ownership transfer is permanent and should be confirmed carefully, as the new Owner will have full billing and account deletion rights.
Account deletion must be requested by the Owner. Go to Settings → Danger Zone and click "Delete organisation". You'll be prompted to export your data first (we strongly recommend doing so) and to confirm by typing your organisation name. Deletion is irreversible — all shipments, documents, and financial records are permanently removed within 30 days in line with our data retention policy.
Technical & Integrations

APIs, carrier connections, accounting software, and data security.

Yes. MakeCargo provides a REST API on the Professional plan, allowing you to create and update shipments, sync contacts, push charges, and retrieve financial data programmatically. The API uses token-based authentication and is documented with OpenAPI (Swagger) specifications. Webhooks are also available for real-time event notifications — for example, triggering your own system when a shipment milestone is updated or an invoice is approved.
For ocean freight, MakeCargo integrates with major container shipping lines including Maersk, MSC, CMA CGM, Hapag-Lloyd, Evergreen, and COSCO for automated container tracking via their public and private APIs. For air cargo, tracking is supported via IATA Cargo-XML and carrier-specific feeds. For express couriers, DHL, FedEx, and UPS tracking is available out of the box. If your carrier isn't yet connected, you can enter manual milestone events or request a new integration via our support channel.
MakeCargo has native export connectors for Xero and QuickBooks Online, letting you push approved invoices and vendor bills directly to your accounting system without re-keying data. For other systems, you can export transaction data in CSV format compatible with most accounting platforms. If you use a bespoke ERP, the Professional plan API allows custom integration with your finance team's preferred toolchain.
Yes. All data transmitted between your browser and MakeCargo is encrypted using TLS 1.2 or higher. Data at rest — including shipment records, financial data, uploaded documents, and user credentials — is encrypted using AES-256. Passwords are stored as salted hashes and are never readable by our team. We conduct regular security audits and penetration tests to ensure the platform remains hardened against known attack vectors.
MakeCargo is hosted on Amazon Web Services (AWS) infrastructure with primary servers in the Singapore region (ap-southeast-1), providing low latency for customers across Asia-Pacific. Automated daily backups are retained for 30 days and stored in a geographically separate region. Enterprise customers on the Professional plan with specific data residency requirements (such as EU GDPR obligations) can contact us to discuss regional hosting options.
